Who we share your information with and where: LinkedIn (US), Instagram (US), Facebook Business Manager (US), HubSpot (US).

We collect / use: Aggregate demographics regarding your location (country), device, links clicked, age group, gender, searched keywords. If you offer us this information: name, email address, employer (if it’s visible in the email address).

Why: To understand our target audience’s behavior and needs, to improve awareness of our brand, and to generate leads.

Lawful basis: Consent via the cookie banner displayed on Ardoq’s website, or on other websites where our ads are published.

Where we got the information from: From advertising and analytics platforms such as Google Ads, Facebook Business Manager, LinkedIn, or directly from you.

How long do we keep your information: For as long as cookie retention keeps your data, or as long as you grant your consent. More details available in the Cookie policy.

Who we share your information with and where: Google Ads (globally), HubSpot (US), LinkedIn (US), Facebook Business Manager (US), Microsoft Ads (United States, EEA).

We collect / use: If you offer us this information: name, email address, job title, employer (if it’s public in the email address). Other information that you do not provide directly: information about how you landed on a specific page (links clicked).

Why: To facilitate your access to the event, such as sending you confirmations of the registration and reminders, asking for feedback, and sending you the recording. To contact you in relation to the event you attended and explore the possibility of purchasing our services.

Lawful basis: Legitimate interest to facilitate access to the event and interact with the attendees. Consent, if you subscribe to receive marketing communications.

Partners
Your data may be shared with Ardoq's partners that facilitate the management of the event. These partners may also follow up with you in relation to the event.

If you consent to receive marketing communication from Ardoq's partners, you may be added to the partner's mailing list and receive marketing communication that may or may not be related to Ardoq and our services.

Ardoq's partners that receive data following an event: Protiviti (US), Slalom (US), Ernst and Young (US).

During physical and online events, Ardoq may record the entire event or snapshots of the event and/or take pictures of the participants.

Should you wish to object to having pictures/videos taken and/or shared online, please let the organizers know as soon as possible. Alternatively, you can exercise your data protection rights by emailing privacy@ardoq.com.

Why: To better manage the relationship with our customers, collect feedback, provide additional Ardoq products suitable for the customer, and conduct forecasting.

We collect / use: Name, email address, phone number, contact details, job title, information provided in relation to call/meeting recordings, employer (Ardoq’s customer/lead/partner). Sometimes we may be able to see if you’ve opened an email sent by us or its attachments.

Why: To better manage the contract negotiation with our customers and to manage internal risks and knowledge, as well as forecasting.

Why: To increase our marketing visibility and showcase successful Ardoq stories.

Why: To track the progress of partners taking our certification program and grant them certificates.

How long do we keep your information: For as long as needed to maintain the certification.

Who we share your information with and where: Attensi (EEA), HowNow / Ardoq Academy (EEA), Credly by Pearson (EEA, Switzerland), Google Workspace (EEA), Slack (EEA).

We collect / use: Name, email address, employer (Ardoq’s customer/lead/partner), Attensi progress, Attensi username, information provided in relation to telephone recordings, meeting recordings, and similar communication.

Why: To train you on how to use Ardoq services.

Lawful basis: Legitimate interest to offer a training scheme on Ardoq usage. In some instances, we perform this action as part of the contractual obligations with Ardoq’s customer. In this case, Ardoq’s customer (your employer) is the controller of the data and decides the legal basis.

Why: To understand user trends and enhance user productivity, reliability, efficacy, and quality, as well as to manage Customer accounts.

Lawful basis: Legitimate interest.

How long do we keep your information: For as long as your usability metrics provide useful information.

Who we share your information with and where: Amplitude (EEA), Salesforce (EEA), Segment (US), Chargebee (US), ChartMogul (EEA), Intercom (EEA), Beamer (EEA), RedShift (EEA).

We collect / use: Name, email address, Ardoq user role, behavior analytics, IP address, browsing behavior, links clicked, user ID, username.

Why: To facilitate the management of users and customer organizations in Ardoq and to understand better the customer’s usability of Ardoq (managing backoffice).

How long do we keep your information: For as long as your usability metrics provide useful information. If we need to contact you directly, we may use additional third parties like Google Workspace (EEA), Slack (EEA), Zoom (EEA), Office 365 (EEA), Clari Copilot (US).

When you use the Ardoq platform, we also process your personal data on behalf of our customers (normally your employer). This processing includes names, e-mail addresses, and IP addresses for activities such as user management, platform back-ups, security of the platform, solving security issues and errors, answering support queries, communicating platform updates, and other relevant information to the users, and sending in-app notifications. Ardoq only functions as a data processor for these activities, and we are bound by the controller’s instructions and the Data Processing Agreement that governs the relationship between Ardoq and our customer (data controller). When you are a supplier for Ardoq

We collect / use: Name, email address, employer, phone number. Depending on the platform used to provide your services: IP address and username.

Why: To enable procurement of your services, manage an internal knowledge base, and enter an ongoing business relationship with you.

Lawful basis: Legitimate interest to buy/access a product or services and manage an internal knowledge base. Performance of contract, when Ardoq enters a contract directly with you.

Where we got the information from: Directly from you, from your employer, the platform you use to deliver your services such as HackerOne (US), or online when your information is publicly available (e.g., on social media).

How long do we keep your information: For as long as you/your employer are in a business relationship with Ardoq.

Who we share your information with and where: Sastrify (EEA), Google Workspace (EEA), Slack (EEA), Atlassian (global), Zoom (EEA), Office 365 (EEA), Ardoq (EEA), HubSpot (US), Meltwater (EEA).

When you are one of Ardoq’s investors, shareholders, or a member of the Board of Directors

We collect / use: Name, email address, national ID, shareholder information.

Why: For compliance and reporting purposes, as well as to enable communication with you and for business operational reasons.

Lawful basis: Legal requirement, Legitimate interest to communicate with you, Performance of contract when Ardoq enters a contract directly with you.

Where we got the information from: Directly from you, from your employer.

How long do we keep your information: For as long as you have the status of an investor, shareholder, or a member of the Board of Directors, or you work for a company that has this status.

Who we share your information with and where: Amesto Global (EEA), Amesto Teams (EEA), My Amesto (EEA), Google Workspace (EEA), OptioIncentives (EEA). Law firms in Norway, such as BAHR (to facilitate the legal obligations like registration), Tax Authorities such as Skatteetaten in Norway, as well as our Investors.

We may also process your personal data as necessary for compliance with legal obligations or for establishing, exercising, or defending legal claims. This includes keeping data to demonstrate compliance with data subject rights.

Your data protection rights

Under EEA/UK/Swiss data protection law, you have rights including:

  • Your right of access - You have the right to ask us for copies of your personal data.
  • Your right to request detailed information about the specific types of personal data we've collected over the past 12 months, including data disclosed for business purposes.
  • Your right to rectification - You have the right to ask us to rectify personal data you think is inaccurate. You also have the right to ask us to complete information you think is incomplete.
  • Your right to erasure - You have the right to ask us to erase your personal data in certain circumstances.
  • Your right to restriction of processing - You have the right to ask us to restrict the processing of your personal data in certain circumstances.
  • Your right to object to processing - You have the right to object to the processing of your personal data in certain circumstances.
  • Your right to data portability - You have the right to ask that we transfer the personal data you gave us to another organisation, or to you, in certain circumstances.
  • Your right to withdraw consent – When we use consent as our lawful basis you have the right to withdraw your consent.
  • You have the right not to be subject to a decision based solely on automated processing, including profiling, which produces legal effects or similarly significantly affects you.

To exercise these rights, please send an email to privacy@ardoq.com. To verify your identity for security, we may request extra information before addressing your data-related request. You don’t usually need to pay a fee to exercise your rights. If you make a request, we have one calendar month to respond to you.

We encourage you to contact us directly at privacy@ardoq.com for any feedback or concerns. If you remain unhappy with how we’ve used your data after raising a complaint with us, depending on your region, you have the right to complain to your local Data Protection Authority. European users can find authority contacts on the European Data Protection Board website. If you are a Swiss resident you have the right to lodge a complaint with the Swiss Federal Data Protection and Information Commissioner (FDPIC).

Sharing personal data and International data transfers

We may share personal data with third parties, depending on the activities you are involved with, but we won’t sell it to advertisers or other third parties. Categories of parties that might access your personal data:

Others working for and with Ardoq. Ardoq uses certain trusted third parties (for example, contractors and consultants) for the business purposes of helping us provide, improve, protect, and promote our services. These third parties will access your data to perform tasks on our behalf, and we’ll remain responsible for their handling of your information per our instructions.

Other Ardoq Companies. Ardoq shares data with other Ardoq Companies to provide, improve, protect, and promote services as permitted by applicable law.

Other applications or third parties, as detailed for each of the circumstances above.

Law & Order and the Public Interest. We may disclose your information to third parties if we determine that such disclosure is reasonably necessary to: (a) comply with any applicable law, regulation, legal process, or appropriate government request; (b) protect any person from death or serious bodily injury; (c) prevent fraud or abuse; (d) protect Ardoq’s rights, property, safety, or interest; or (e) perform a task carried out in the public interest.

We may transfer personal data from the European Union/European Economic Area, the United Kingdom, and Switzerland to countries that the European Commission has not recognized as having an adequate level of data protection. When we engage in such transfers, we generally rely on the standard contractual clauses published by the European Commission under Commission Implementing Decision 2021/914, or we share your data with companies certified under the Data Privacy Framework (DPF) program, to help protect your rights and enable these protections to travel with your data. Our services may contain links to other websites, and other websites may reference or link to our website or other services. These other websites are not controlled by us. We encourage you to read the privacy notices of each website and application with which they interact with. We do not endorse, screen or approve and are not responsible for the privacy practices or content of such other websites or applications. Visiting these other websites or applications is at your own risk.

Our services may include publicly accessible blogs, forums, and social media pages. By using such services, you assume the risk that the personal data provided by you may be viewed and used by third parties for any number of purposes. In addition, social media buttons such as LinkedIn, Facebook and Instagram that might include widgets (such as the “share this” button or other interactive mini-programs) may be on our site. These features may collect your IP address, which page you are visiting on our site, and may set a cookie to enable the feature to function properly. These social media features are either hosted by a third party or hosted directly on our site. Ardoq uses administrative, technical, and physical security controls where appropriate to protect your personal data.

Information for Minors

Our services are not intended for individuals under the age of 18. We do not intentionally gather personal data from minors. If you become aware that a minor has provided us with personal data, please notify us at privacy@ardoq.com.

Upon receiving your verified request, we will promptly delete your personal information (unless an exception applies), and instruct our service providers to do the same. We employ brief retention terms by design.
  • Right to a Timely Response: You are allowed to make two free requests in any 12-month period. We commit to responding to your request within 45 days. In complex cases, we may extend our response time by an additional 45 days.
  • Non-Discrimination: We will not hold it against you when you exercise any of your rights. On the contrary, we encourage you to review your privacy settings closely and contact us with any questions.

Colorado/Connecticut/Virginia

If you live in Colorado, Connecticut, or Virginia you have some additional rights:

  • If we deny your rights request, you have the right to appeal that decision. We will provide you with the necessary information to submit an appeal at that time.
  • You have the right to opt out of profiling in furtherance of decisions that produce legal or similarly significant effects concerning the consumer. Ardoq does not engage in such profiling as defined by Colorado law, so there’s no need to opt out.

Nevada
